Privacy notice
Updated
Beam is R.N.A’s workspace for capturing and reviewing photos and video, on the web and on iPhone. R.N.A Production Services Ltd (“RNA”, “we”) is the data controller. Contact [email protected] with questions about your information.
What we use and why
- Your name, work email, member identifier and access permissions from R.N.A Base, so you can sign in and open the galleries shared with you.
- Photos, video and audio you capture or import, and their file metadata, so we can store, process and display your work. Files may contain information such as capture dates, camera settings or location already embedded in them.
- Galleries, selections, ratings and comments you add, so your team and invited reviewers can review content together.
- Technical records such as requests, upload progress and errors, to keep Beam secure, complete uploads and fix problems.
Your account information comes from Base. Content comes from you, other people sharing work with you, or a connected source selected by an authorised team member. Account and access information is necessary to use Beam; you choose what content to add.
Camera, microphone and files
The iPhone app asks before using your camera or microphone. Photo and file pickers let you select what to import. You can change device permissions in Settings. Recording video may include sound. Beam does not need continuous access to your location.
Our legal bases
We use information where necessary to perform our contracts with people working with RNA (UK GDPR Article 6(1)(b)), and for our legitimate interests in managing creative projects, collaborating with invited reviewers and keeping the service secure and working (Article 6(1)(f)). We also keep information where the law requires it (Article 6(1)(c)).
Who can see it
Base controls access to galleries and presentations. Your content and review activity are visible to people given access to that work, according to its sharing settings. Authorised administrators can manage access. A presentation or share link may make selected content available to invited clients and reviewers.
We use providers for sign-in, hosting, file storage and processing, and technical operations. They process information on our instructions. Where information is transferred outside the UK, we use applicable adequacy regulations or approved contractual safeguards. You can request information about those safeguards at the privacy address above. We may disclose information where required by law.
We do not sell personal information, use it for advertising or track you across other companies’ apps or websites.
How long we keep it
We keep project content and review activity while needed for the project, agreed delivery and retention requirements, or legal obligations. Account and access records are kept while access is needed and afterwards where required for security or legal purposes. The criteria include the project agreement, the purpose of the records and any applicable legal retention requirement.
The iPhone app stores captures, imported files and upload records locally so uploads can continue after a connection is lost. Signing out ends your session but may leave pending upload files on the device. Use a trusted device and manage saved files and uploads before handing it to someone else. Removing the app removes its local data; it does not delete content already uploaded to Beam.
Your rights
You can ask for access to, correction of, or deletion of your personal information, and for restriction or portability where the law provides these rights. Email [email protected]. We normally respond within one month.
You have the right to object to processing based on our legitimate interests. Contact us at the same address to exercise this right.
You can complain to the Information Commissioner’s Office. We do not make solely automated decisions about you with legal or similarly significant effects.
